What can be automated in appointments

A clinic's reception spends much of the day on tasks that never change: reminding, confirming, rescheduling and phoning round to fill a gap. These four can run on WhatsApp:

  • Reminder. It goes out by itself, early enough to refill the slot.
  • Confirmation. The patient taps a button and the diary updates.
  • Rescheduling. If they cannot come, they are offered free slots or passed to reception.
  • Waiting list. When someone cancels, whoever was waiting for that service is alerted.

Why a reminder must be answerable

A patient who cannot come and has no easy way to change the appointment simply does not turn up. A read-only reminder informs, but it does not recover the slot. One they can answer gives you time to offer it to someone else. That is what cuts no-shows, not nagging more often.

What WhatsApp requires

A reminder is not a normal message. Sending it automatically takes the WhatsApp Business API. If the patient has not messaged you in the last 24 hours, you can only send templates Meta reviews and approves, and you need their permission to receive those messages. The free WhatsApp Business app is for writing by hand, not for automating reminders. The differences are in WhatsApp Business API or the free app.

What GDPR requires

A medical appointment reveals health data, which has special protection. The practical rule is to send the minimum:

  • Yes: "You have an appointment on Tuesday at 10:30 at the clinic. Reply to confirm or change it."
  • No: the treatment, the reason for the visit, or the specialist's name if it reveals the condition.

The patient must also have agreed to receive messages on this channel, and the clinic should have its processing records and provider contract in order. If in doubt, check with your data protection adviser before starting.

Connecting it to your appointment software

You do not need to change software. What you need is for yours to allow reading and writing appointments, by API or some other way. If it does, confirmations land in the diary by themselves. If not, it can run with a check at reception. This is tested before anything is signed, and if it cannot be connected, we say so before charging.

What reception should keep doing

  • Handling medical questions: the system must never answer them.
  • Deciding urgent cases and diary priorities.
  • Talking to older patients or anyone who prefers to call: WhatsApp does not replace the phone.

Where to start

Start with just the answerable reminder, for one service or one professional. Measure no-shows for a month, then add the waiting list. What gets built around the appointment is in automated bookings and appointments, and if calls are what overwhelm you, see whether an AI receptionist is worth it.

Frequently asked questions

Can I send automatic reminders with the WhatsApp Business app?

No. That app is for writing by hand. Automatic reminders need the WhatsApp Business API and templates approved by Meta.

What can go in a medical appointment reminder?

The minimum: day, time, clinic and how to confirm or change. No treatment or reason for the visit, because those are health data.

Does the patient have to give permission to receive WhatsApp messages?

Yes. Meta requires that they have agreed to receive messages from the clinic, and it is best recorded on their file.

Do I have to change my appointment software?

No. It connects to the one you have if it allows reading and writing appointments. If it does not, it runs with a check at reception.

What if the patient replies with something else?

If they write something other than confirming or changing, the message goes to reception. The system never answers a medical question.
